About DataToDoc for Microsoft Word

DataToDoc is an add-in for Microsoft Word that helps users generate dynamic documents by merging structured data (e.g., from spreadsheets or databases) into Word templates. The add-in runs within the Microsoft Word interface and is user-initiated via the ribbon menu.

When you use DataToDoc:

  • You select a data source (XLSX file) from within the add-in interface.
  • The add-in reads metadata such as sheet names and column headers to help you configure your template.
  • On clicking “Merge,” the selected document and data are processed by a secure cloud function (Google Cloud Run).
  • Subscription validation and quota tracking are performed using Google Firestore. A hashed version of your email is used solely for identifying your account status.
  • Stripe.com handles all billing and subscription services.

The add-in requires access to your Microsoft account to provide its functionality. These permissions are requested only when needed and are limited to what’s necessary to perform merging and document generation tasks.

To revoke access and stop using the add-in, you may uninstall it via Microsoft Word > Add-ins > My Add-ins.

We do not sell or share your data with third parties.

All usage of Microsoft APIs complies with the Microsoft 365 Developer Agreement and Microsoft privacy requirements.


User Account Deletion

DataToDoc accesses only the minimum necessary data.

To delete your account and related data:

  1. Uninstall the add-in from Microsoft Word (via My Add-ins).
  2. Email us at support@datatodoc.de to request deletion of your account data (e.g., hashed email in Firestore).

We will process your request within 30 days.


Data Classification

Data processed through the add-in is categorized as follows:

  • Highly Confidential Data
    Full content of your Word documents is only accessed when explicitly selected by you for merging. No content is stored.
  • Confidential Data
    Includes file names, selected document content, and a hashed version of your email used for quota management. This data is accessed temporarily and securely processed.
  • Shareable Data
    Optional. If you share access to files with support for troubleshooting, we recommend revoking access after your issue is resolved.
  • Public Data
    Includes content published on https://www.datatodoc.de.
  • Personal Data
    Refers to details of DataToDoc maintainers and system administrators.

Data Access

The add-in requests specific permissions to function:

  • Access to selected files
    Used to read content and structure for template merging.
    📌 We do not modify or delete your files.
  • Internet access
    Required to send data securely to the cloud processor for merge execution and subscription validation.
  • User identity (email)
    A hashed version is used internally for subscription tracking.

Data Storage

DataToDoc stores limited data in secure environments:

  • Hashed email address – for identifying your account in Firestore
  • Subscription level and usage quota – used for service limits
  • No content of your documents or data files is ever stored

Payment and subscription data are securely processed by Stripe.com.


Data Protection Measures

  • We store only what’s necessary to deliver the service.
  • All data is stored in secure, access-controlled systems.
  • Access is limited to authorized personnel.

Data Retention

We retain data only as long as needed to provide the service. When data is no longer required, it is securely deleted in accordance with industry best practices.


Changes to This Policy

We may update this Privacy Policy from time to time. The latest version will always be posted on our website.
